Our privacy commitment includes ensuring the accuracy, confidentiality, and security of our clients’ Personal Information and allowing our clients to request access to, and correction of, their personal information. What is Personal Information?

Any information that is identifiable with a client, as an individual. This information may include but is not limited to your name, gender, age/date of birth, language of correspondence, mailing address, telephone number, e-mail address, and membership in an organization. Personal Information, however, does not include your name, business title or business address and business telephone number in your capacity as an employee of an organization.
 

How Do We Collect Personal Information?

We will only ever collect clients’ Personal Information by fair and lawful means: where we have obtained client consent to do so or as otherwise permitted by law. We will only collect client information that is necessary to fulfill purposes related to art therapy and counselling. This information is collected by a variety of methods: phone, email, online, or in person.

 

How Do We Obtain Consent?

Implied consent is reasonably inferred by Root & Reclaim Art Therapy when clients voluntarily provide Personal Information to us either orally, electronically or in writing, so that we can supply the service you request.

 

 

How Do We Use Personal Information?

We will only use client Personal Information where necessary to fulfill the art therapy and counselling purposes identified at the time of collection unless we are required to do so by law.

 

Where Do We Store Personal Information?

Personal Information is stored in our database(s) on a secure server and in hard copy files at our office in Nelson, British Columbia. Only authorized Root & Reclaim Art Therapy personnel have access to this information.

 

How Are We Protecting Personal Information?

We have implemented physical, organizational, contractual and technological security measures to protect clients’ Personal Information from loss or unauthorized access, disclosure, copying, use or modification. Only those clinicians at Root & Reclaim Art Therapy who are granted access to clients’ Personal Information are those with a business “need-to-know” or whose duties reasonably require such information.

What if the Personal Information We Have is Inaccurate?

At any time, clients can question the accuracy or completeness of their Personal Information in our records. If clients successfully demonstrate that their Personal Information in our records is inaccurate or incomplete, we will amend the Personal Information as required.
